Videoconferencing
Video conferencing enables two or more sites to collaborate and have a virtual meeting face to face with participants at a distance. Cameras and microphones are used at both sites to send the pictures and sound of attendees to each other in real time. The result is a meeting that can occur anywhere in the world.
We use special equipment that utilizes proven standards-based technology from Polycom connecting via ISDN or IP. Depending on remote capabilities, you can also send and receive native-resolution computer and people visuals simultaneously.
Some examples of uses are meetings, thesis defense, enrichment of your class with a guest speaker, and job interviews.

University Media Services maintains and staffs two video conference rooms on the Newark campus that are available for the campus population to use.
Pearson Hall 304 (Studio C)
Studio C is a seminar style lecture and video conference facility equipped with 26 seats, two of which are handicapped accessible. This room features:
- Polycom VSX-8000 codec
- Thirteen 15" XGA flat panel monitors on the student desks
- Motorized height-adjustable lectern with laptop connections
- Installed Windows PC with Starboard smart monitor
- 52" LCD display for instructor view of remote site
- XGA LCD projector for participant view of remote site
- Four technician controlled cameras
- Thirteen Sure microphones on the student desks for discussion
- VHS/DVD/CD playback capabilities
- VHS/DVD recording of the conference
- WiFi enabled
East Hall 104
East Hall 104 is a smaller conference-room style facility suited for individual or small group video conferencing for up to 12 people. This room features:
- Polycom ViewStation FX codec
- Two XGA LCD projectors for simultaneous view of remote site and data visuals
- Two desk mounted microphones
- Desk mounted laptop connections for VGA, ethernet, audio and power
- VHS/DVD/CD playback capabilities
- VHS recording of the conference
- WiFi enabled
Other facilities are available around the campus but are maintained separately by individual departments and colleges. University Media Services does not schedule these facilities nor can we grant you permission to use these facilities. You should contact the department or college to obtain permission.
Remote site system requirements
When contacting the remote site or remote party, here are the system requirements that must be met.
- Video conferencing system that supports H.323 (IP) or H.320 (ISDN) from vendors such as Polycom, Tandberg, Sony, etc.
- At least 384 kilobits/sec bandwidth for ISDN (3 ISDN lines, less will work but image quality will suffer)
- At least 512 kilobits/sec bandwidth for IP
- At least one camera with pan, tilt and zoom (PTZ)
- At least one microphone with the ability to mute
- Speakers with adjustable volume
- A technician on the remote site
We will be happy to coordinate system details with the technical contact at the remote site.

- How many participants will you have in the Newark site?
- What presentation technologies will you need? (PowerPoint, document camera, etc)
- Will you be showing any VHS or DVD videos or playing CD audio?
- Do you want the event recorded?
- VHS or DVD format?
- How many copies? (the first one is free)
- How would you like it labeled?
- Who will be the "moderator" of large discussions?
- Where will the dominant speaker be located (Newark, or remote site)?
- Are there potential language barriers that will require translators to conduct a test?
Costs
Video conferences are a viable alternative to travel for participants. With the ability to reach anyone in the world with connectivity, we're able to connect you with virtually anyone and save you on the cost of travel expenses.
At the University of Delaware, there are no facility or staff fees associated with a video conference for academic purposes.
For grant-supported or non-academic video conferences, the rates are $60 internally (UD community) or $150 externally.
There may also be fees for using ISDN services if we place the call (if the remote party places the call, they will incur the line costs). Those ISDN fees are passed directly on to you or your department.
When video conferencing with other parts of the world, remember the time difference in your requests. University Media Services normal operating hours are Monday through Friday 8:00am - 5:00pm. Meetings outside of these times are handled on an individual basis depending on staff availability and may incur additional overtime charges.
Making a request for a video conference.
Making a request is simple. University Media Services offers an online form that you may fill out to request the use of our facilities.
This form will ask for details such as location, date, time and remote site technical contacts. Once confirmed, emails will be sent to the remote sites requesting them to contact us so we can gather information about their system, how to connect, dial-up numbers, etc.
A test will be arranged before the conference date to ensure there are no problems.
Keep in mind this is only a request, not a reservation. A staff member of University Media Services will contact you with room availability, confirmation, and other such matters.
